Procedure for proper loading and unloading of a vehicle

OBJECTIVE: To ensure the safety of people and goods during the loading and unloading of vehicles and the proper circulation of documents within the Logistics Center.

RESPONSIBILITY:

  • Transport Department - informs about cooperation with carriers, communicates, familiarizes, and enforces compliance.
  • Security - verifies documents and security measures, controls vehicle traffic, opens ramps, issues passes.
  • Forklift operator - reports readiness for work and the need to open the ramp.
  • Dispatcher / authorized / designated employee - checks documents, indicates the place of loading/unloading, issues permits and seals.
  • Driver - applies health and safety rules, uses PPE (shoes, vest, wedges), performs maneuvers only after obtaining permission.

ENTRY TO THE FACILITY:

  • Report the purpose of your visit to Security or the Dispatcher.
  • Security verifies documents, issues a pass, and familiarizes you with health and safety rules.
  • In facilities with automatic barriers - entry after reading the license plate.
  • No notification – report the transport in the system.
  • Hand over the transport documents to the Dispatcher.

DRIVE UP TO THE RAMP:

  • Drive up to the indicated ramp.
  • Security checks the ŚOI and seal.
    • No seal → goods checked against the waybill.
    • No ŚOI → no entry to the warehouse.
  • Prepare the vehicle: open the doors, secure the wheels, turn off the engine.
  • Wait for permission from security or a signal from the traffic light (red – do not move, green – you can drive away).

UNLOADING/LOADING:

  • The engine must be turned off.
  • If you enter the warehouse, wear a vest, protective footwear, and an ID badge.
  • Stand in the designated area, max. 2 m from the ramp.

  • After finishing work, the forklift operator informs Security → only then can you drive away.
  • When loading:
    • Secure the goods and close the cargo door.
    • Security seals the trailer and issues the documents. 
  • When unloading:
    • Remove the load securing and secure the vehicle.

LEAVING THE PREMISES:

  • Give the security guard your pass and exit permit.
  • Internal drivers – return their personal pass.
  • In facilities with an automatic system – exit after the license plate has been scanned.
  • The barrier will only open after the documents have been accepted by the Dispatcher.

PROHIBITIONS:

  • Unauthorized parking or departure from the ramp.
  • Unloading/loading with the engine running.
  • Staying outside the designated area.
  • Failure to hand over documents to an authorized employee.
  • Parking at the ramp for longer than the operation takes.
  • Opening the ramp or gate without authorization.

REPORTING NON-COMPLIANCE:

  • Report all irregularities to Security or the Operator.
  • Security will draw up a statement in the event of violations of the rules (e.g., lack of a vest, wedges, failure to comply with traffic signals).
  • The information is forwarded to the Transport Department, Managers, Administration, and Health and Safety.

ACCIDENTS / INCIDENTS

  • Report the accident immediately to Security or the Dispatcher.
  • Do not change the location of the incident.
  • The driver involved in the incident remains on site until a statement has been made.
