RULES FOR ENTERING THE PREMISES
1. General rules of the Facility
- Animals are not allowed on the premises of HZA Zakroczym.
- The Facility is monitored.
- It is strictly forbidden to bring, consume, or enter the Facility under the influence of alcohol or intoxicating substances, or substances with effects similar to alcohol.
- Upon entering the parking lot that is part of the Facility, the person entering the premises undertakes to comply with the parking lot regulations.
- Each person entering the Facility undertakes to read these Rules and Regulations before entering the premises.
- The security of the Facility is provided by security guards and security personnel.
- For the avoidance of doubt, the reception desk is located in the main office building of the Facility, while the gatehouse is located outside the Facility, between the parking lot and the entrance to the building.
- For identification purposes, anyone entering the Facility may be asked to present an identity document. Refusal to present an identity document may result in refusal of entry to the Facility.
2. Management
Members of the management boards of IC, ILS, J&M, ICMS, M5, M4, and Danxils have full access to the Facility and may use the parking lot in front of the office.
3. Employees
- Employees use the public outdoor parking lot after entering the Facility.
- Only on their first visit, employees receive a guest access card. The card must be returned when leaving the Facility at the Reception or at the Gatehouse.
- After their first visit, Employees will be granted access to the Facility and will receive an access card in accordance with the rules set out in the access card regulations.
- Access cards will also be used for identity verification. In the absence of an access card or if the identity cannot be verified on the basis of the access card, the Employee's identity may be verified by a Security Guard.
- Refusal to present an identity document or access card will result in refusal of entry to the Facility.
4. Guest
- Park your car in the designated outdoor parking spaces marked with a "Guest" sign.
- They are required to enter through the Gatehouse.
- Security immediately notifies the Reception Desk or another designated unit of the Guest's arrival by telephone in accordance with internally established rules.
- After presenting their ID, the Guest is entered into the entry/exit register available at the Reception and signs a statement confirming that they have read the Regulations.
- Failure to present an identity document may result in the Guest being denied entry to the Facility.
- After signing the entry/exit register, the Guest receives a Guest access card.
- The "Guest ID" card must be returned to the Concierge Desk at the end of the visit.
5. External service
- External service employees may enter on the basis of a notification sent in advance to the Property Management Department and after receiving the appropriate consent.
- After entering the Facility, external employees should go to the reception desk, where security personnel are required to: (verify the identity of external employees, enter the relevant data in the traffic log (number of people, their authorizations, health and safety training completed, and whether the work is a fire hazard), check whether the visit was announced, inform the Facility administrator about the reported work, who may request the assistance of a maintenance technician in performing it, and direct external employees to the Reception to sign a statement.
- After receiving information about the completion of work by external employees, the security employee is required to monitor them until they leave the Facility and record the time of departure in the Traffic Log.
DETAILED RULES FOR ENTERING THE WAREHOUSE AREA
- General rules for entering the Warehouse
- Permanent access to the Warehouse means the possibility of staying on the premises of the Warehouse without additional permits, subject to the rules of these Regulations.
- Full access rights to the Facility mean permanent access to the Facility, including the Warehouse, and the ability to grant access rights to the Facility.
- Before entering the Warehouse, everyone must wear protective clothing, i.e.:
- protective footwear and a reflective vest – throughout the entire Warehouse,
- a helmet – in the high storage area,
- fireproof suit or protective suit or chemical suit – in the chemical hazard zone.
- Failure to wear protective clothing will result in refusal of entry to the Warehouse.
2. Management and Directors
- The management of ICSA, ILS, J&M, ICMS, M4, and Danxils has full access to the Facility without any restrictions, including time restrictions.
- Positions from M3, M4, M5, E1 have permanent access to the Warehouse.
3. Employees whose duties require access to the Warehouse
- are granted access/permission to work in the Warehouse after receiving approval from their supervisor and completing training.
- Declarations of familiarity with the content of the Regulations may be submitted by Employees whose duties require access to the Warehouse during the Training.
- Training: registration for training takes place at: bhp@intercars.eu, and training is organized monthly or as needed.
4. Guests
- A person requesting entry of a Guest/Guests to the Warehouse shall complete the ONLINE form and send it to the following e-mail address: recepcja@ilslogistics.eu.
- The application must be submitted at least three days before the planned date of the visit, and for groups of more than 10 guests, the application should be submitted at least two weeks before the planned visit.
- The applicant will receive approval or rejection of the application in a reply to the email from which the application was sent.
- If the date is available, the email will contain: confirmation of the date and the supervisor's details.
- If the date or guide is unavailable, the application will be rejected in a reply to the application.

- Employees authorized to enter the Warehouse may guide Guests on their own.
- Guests are required to wear a reflective vest, safety shoes or protective covers, and when moving around the high storage area, also a safety helmet (available at the Reception) and to attach their assigned ID badge in a visible place.
- Guests may only move around the Warehouse in the presence of a Guardian or authorized Employee. Groups of more than 10 people must be accompanied by a Security Employee.
5. External services
- External employees delivering goods to the Warehouse may enter on the basis of a work notification after notifying the Property Management Department and receiving permission to perform work or enter the Warehouse premises.
- After entering the Facility, external employees are required to report to the Facility Administrator.
- External employees enter through the emergency exit and move only in the vicinity of the gate where their vehicle is located, at a maximum distance of 2 meters from the ramp where loading or unloading takes place.
GENERAL PROVISIONS
- Entering the Facility on non-working days and at night is only possible after sending an email to: ILSMonitoring@ilslogistics.eu.
- Any person leaving the Warehouse may be subject to a detailed inspection consisting of passing through metal detection gates. If the gate emits a sound confirming the detection of metal, the person being inspected should present all items they have with them. If the signal continues to indicate the presence of metal, the person may be additionally searched with a hand-held scanner. If a person refuses to pass through the gates or be searched with a hand-held scanner, the Facility Administrator or an authorized person on the premises may call the police to search the person leaving the Warehouse.
- Unless otherwise stated in the information generally available at the Facility, the administrator of the personal data of Employees, Guests, and External Employees is ILS sp. z o.o. with its registered office in Swobodnia. Personal data will be processed in particular for the purpose of ensuring security at the Facility, protecting property, and protecting the trade secrets of the IC Capital Group. Detailed information on the processing of personal data, including the rights associated with it, can be found in Appendix 12 or 12a to the Regulations.
- The Regulations are available in 5 language versions: Polish, English, Spanish, Ukrainian, and Russian. In the event of discrepancies between the language versions of the Regulations, the Polish version shall prevail.
